The two main email systems we recommend for schools and colleges are Gmail and MS Outlook. Both of these are available as part of larger, online education platforms, Google Workspace for Education and Microsoft 365 Education.
Both of these options provides user-friendly and secure central management for school emails. You can create as many emails as your school or college needs, for both the staff and students – for free.
Gmail for schools
Google’s email system, Gmail, provides an excellent option for school and college use.
Gmail comes free with the Google Workspace for Education subscription. You can set up email accounts for all your teaching and admin staff, and you can have as many student Gmail accounts as you need. The students’ school Gmail accounts will let them send and receive school emails and provide a secure logon for other Google features such as Classroom and Meet.
Microsoft Outlook
The well-known email service from Outlook is also part of a free schools’ package, Microsoft 365 Education.
This platform uses MS Exchange for email. All your teaching staff, support staff and students can have their own Outlook account and email address. Their addresses are customised under the school domain name (for example ). Students can use their email address to access features such as MS Teams, and they can also use their account from their home laptops or smartphones.
